Information Rental Desk handles

Rental Desk stores information you enter to operate your rental business, including business settings, equipment, renters, reservations, agreements, payments you record, inspection details, and uploaded photos or documents. It also stores account information needed to sign you in.

Google Calendar

If a Pro owner chooses to connect Google Calendar, Rental Desk requests permission to list calendars the owner can edit and to view, create, update, and remove events in the calendar the owner selects.

Rental Desk reads events from the selected calendar only to display that calendar inside Rental Desk. It creates and maintains check-out and check-in events from Rental Desk rental records. Google Calendar events never replace or alter the rental records used for availability.

Rental Desk does not use Google Calendar data for advertising, sell it, or use it to train artificial intelligence models. It does not import unrelated calendar events into rental records.

Owner notifications

If you enable owner notifications, Rental Desk uses rental schedules, agreement-sent records, maintenance dates, and calendar connection status to prepare reminders. Enabling iPhone alerts stores an Apple device token and sends notification content through Apple’s push service. Notifications may show equipment and customer names on your lock screen, depending on your iPhone notification preview settings.

You can choose notification types, set quiet hours, disable phone alerts, or turn off owner notifications in Business Settings. Signing out removes that device’s push registration. The in-app inbox keeps a history of reminders and shows the latest 100.

Storage, sharing, and security

Rental Desk uses service providers needed to operate the app, including Supabase for account and database services, Vercel for application hosting, and Google when Calendar is connected. Information is shared with these providers only to deliver the service.

Google refresh credentials are encrypted before storage and remain on the server. Google access tokens and server credentials are not sent to the browser. Access is limited to the signed-in owner of each business.

Retention and your choices

Rental records are retained while the business account uses Rental Desk, subject to the owner's recordkeeping needs. A connected Google credential is removed from Rental Desk when the owner disconnects Calendar. Events already written to Google remain in the selected calendar unless the owner removes them.

Owners can also revoke Rental Desk access from their Google Account permissions. To request access, correction, export, or deletion of account data, email support@equipmentrentalapp.com.
